Business Unit: SDFX Studios Position: Production Coordinator, VFX Location: Toronto, ON (Hybrid) *Pay Range: $20.00 - $23.00 CAD hourly
POSITION SUMMARY: The Production Coordinator supports the daily operations of a visual effects show by helping the team stay organized, informed, and aligned. Working closely with Producers, the Production Manager, and Creative Supervisors, this role ensures that reviews run smoothly, notes are captured accurately, and shot information remains current. The Coordinator tracks priorities and assignments, supports turnovers and deliveries, and helps maintain clear communication across departments and partner facilities. This position is collaborative and detaildriven, requiring strong followthrough while contributing to the workflow and efficiency of the production team.
MAIN DUTIES: The VFX Production Coordinator will prepare, schedule, and run daily internal reviews with the VFX Supervisor, Creative Supervisors, and Production Management. They will capture clear, accurate notes during review sessions and distribute them promptly to Supervisors, artists, and partner facilities, document key points and action items from production checkins, supervisor syncs, scheduling discussions, and other crossdepartment meetings, and keep shot, task, and asset information current in the production database, ensuring accuracy based on guidance from the Production Manager and Producers. They will also be responsible for the following:
Track daily priorities, assignments, and shot status, and follow through to confirm tasks are progressing as expected.
Raise any scheduling, workflow, or resource concerns with the Production Manager and Producers, and assist with followup as needed.
Support turnovers, deliveries, editorial updates, and incoming client materials in coordination with Production Management.
Organize and maintain assets, editorial elements, and reference materials with proper version control.
Maintain clear, consistent communication with Supervisors, Producers, the Production Manager, artists, and external partners.
Collaborate closely with the production team while reliably carrying out assigned tasks.
WHAT YOU BRING: The ideal candidate will be a self-starter able to work with minimal oversight while collaborating across departments. They must have strong written and verbal communication skills with the ability to document, share, and escalate information clearly. They will be well-organized and detail-oriented; asset management experience is a plus. Additional desired skills include:
60+ words-per-minute typing skill required.
Proficient in Microsoft Office (especially Excel) and familiar with production tracking tools (ShotGrid, ftrack, Airtable, or similar).
Understanding of VFX pipelines and interdepartmental workflows in deadline-driven environments is a plus.
Experience maintaining database integrity is a plus.
Flexibility to work remotely or in-studio, including occasional extended hours or weekends to meet deadlines.
