Business Unit: SDFX Studios Position: Production Manager, Associate Location: Toronto, ON (Hybrid) *Pay Range: $29.00 - $34.00 CAD hourly
POSITION SUMMARY: The Assistant Production Manager (APM) is the central point of organization and accuracy for a show’s production data. This role is responsible for managing all incoming and outgoing assets, maintaining a shows database and tracking documents, and ensuring the production team is always working in sync with the latest client materials, editorial updates, and cut versions. The APM partners closely with the Production Manager to keep the project running smoothly, efficiently, and accurately from the first turnover through the final delivery.
MAIN DUTIES: The APM will track and manage all incoming client materials (plates, turnovers, updates) and outgoing deliveries, ensuring they are always accurate, timely, and meet all technical and creative specifications. They will maintain all project tracking documents and spreadsheets, ensuring the internal database (FLUX) is always current and aligned with client manifests and EDLs, as well as monitor shot progress and ensure tasks and status updates are accurate across all departments. They will also be responsible for the following:
Reconcile internal data with client tracking documents to ensure consistency, flagging discrepancies promptly.
Work closely with Editorial to confirm that the show is always aligned with the latest cut.
Support Production Manager and Producer with reporting, delivery prep, and asset management.
Assist in scheduling and executing client deliveries and other production milestones as needed.
Support Production Manager and Producer with oversight and mentoring of production coordinators as needed.
Oversee all post-project archival tasks.
Primarily focused on 3D conversion work, with the expectation to cross-train and flex into traditional VFX workflows as production needs require.
WHAT YOU BRING: The ideal candidate will have prior working experience in production coordination, assistant management, or project tracking experience within film, post-production, VFX, animation, stereo conversion, or related media environments. They must have demonstrated ability to create, update, and maintain production documentation including breakdowns, trackers, status reports, delivery logs, and shot lists, as well as competency in data validation and quality control to ensure database integrity and accurate deliverables reporting. Additional desired skills include:
Proficient with spreadsheets (Excel) including formulas, filters, and reporting; comfortable learning new production tools and procedures quickly.
Strong proficiency in production tracking tools (e.g., ShotGrid/Shotgun, ftrack, Airtable, or similar databases) with a demonstrated ability to maintain accurate, detailed project data.
Organized and detail-oriented, with experience managing schedules, task lists, asset tracking, and documentation for a project or show.
Excellent written and verbal communication skills with the ability to clearly document, share, and escalate information to production staff and supervisors.
Self-starter with an ability to work with minimal oversight and collaboratively across departments while managing priorities and tracking updates from multiple contributors.
Client-friendly professional presence and comfort supporting internal calls and reporting as needed.
Flexibility to work both remotely and in studio with extended hours and/or weekends to meet project deadlines.
